Pipeline Pal › Use cases
A simple CRM for coaches
Coaching businesses grow through conversations: a discovery call, a package, a renewal, a referral. Pipeline Pal is a free CRM that keeps track of those conversations, updated by chatting with ChatGPT or Grok, so you can spend your energy on clients instead of admin.

The coaching pipeline
Whether you coach executives, athletes or people changing careers, the business side follows the same path. Pipeline Pal’s seven stages fit it well:
- New: someone reached out or was referred.
- Contacted: you replied and offered a discovery call.
- Qualified: the discovery call happened and it is a good fit.
- Proposal: you suggested a package and price.
- Negotiation: they are deciding, or asking about timing or payment.
- Won / Lost: they started, or decided not to for now.
A package is a deal, with its price as the value. Set the expected close date to when they are likely to decide; once they sign, a note with the end date makes renewals easy to spot.
How it sounds in practice
Booked a discovery call with Lena, wants career coaching, referred by Amir
Adds Lena as a lead with source and notes.
Lena wants the 3-month package, 1,800, starting in November
Creates the deal with value and close date.
Lena signed. Mark it won and make her a client
Moves the deal to Won and converts the lead.
Which clients finish their package this month?
Uses close dates to find renewals coming up.
Who did a discovery call but never booked?
Lists leads that stalled after the first call.
Discovery calls that go quiet
The most common leak in a coaching business is the discovery call that ends with “let me think about it”. Pipeline Pal’s follow-up list catches those. Ask “who should I follow up with?” and you will see the people you spoke to who haven’t moved forward, with the notes from the call so your message can be personal.

Referrals and renewals
Track the source of every lead. After a few months you will know whether referrals, your podcast appearances or social posts bring the clients who actually sign. And because clients become customers with their own timeline, “who finished a package in the last three months?” gives you a list for renewals or a testimonial ask.
What it doesn’t do
- No booking or calendar. Keep your scheduling tool.
- No payments, invoices or contracts.
- No session notes for coaching content. Pipeline Pal is for the business relationship; keep sensitive session notes in a tool designed for them.
- No email. It never reads or sends messages.
